- I have a new customer that wants to develop an extranet where they provide car/bus transfers to multiple travel agencies.
The general idea is that travel agencies log in to this new system and fill in the pax information (type, date, time, main name, mobile number, email, amount of pax, pickup, drop, comments) where:
Type: airport transfer, city tour, etc.
Date: booking date
time: booking time
Main name: main contact.
mobile number: needed in order to send him whatsapp messages and or sms
email: in case mobile number does not work or does not receive the message, the system will email the notifications
amount of pax: could be a family of 4 or a group of 30 people. Don't need to fill in any names here. Just the number.
pickup: hotel, airport
drop: same as pickup
comments: free text area in order to type flight number, extra luggage, etc
Also, need a "save and add a new service" button where there's no need to retype the whole information and create a new booking for another trip.
Customer will review all the bookings in his dashboard and confirms or cancels the bookings. Notification will be sent by email to the agency (confirmed or cancelled). There will be 3 status: Requested, Confirmed, Cancelled and colors should be Yellow, Green, Red. Need to filter records too.
Usually same day or day before, customer will assign drivers and cars. (need car management and driver management modules for this). Multiple selection is a must.
Drivers will have a very small private app in their mobiles (need to develop this also of course) where they will receive push notifications accepting/rejecting the services. Drivers will get all the needed info: pax name, time, flight number, pickup, dropoff, etc. Driver will change the service state. These will be: pending, accepted, cancelled, in transit, in meeting point, picked up, in transit, arrived to destination. Main view should be a list sorted by time of course. Google calendar would be also great to add.
Changes: agency or customer can edit anytime the records (flight number changed, no show, etc) and should email the changes to the travel agency and to customer.
Services fees: each service has a fee based on time/kilometers. The idea is to let customer assign kilometer value per vehicle (the cost of a car is different than a van or a bus). Google maps is a must so customer knows amount of kilometers and time. That way, customer knows before confirming the booking to the travel agency how much will it cost and can manually change the value before accepting it.
System should work in a regular cpanel shared hosting service if possible.
- Log should be generated for all actions so customer knows who created/accepted/cancelled/edited/deleted anything
- Multiple logins per travel agency should be available. The idea is that all travel agencies log in using username (email), password and choose agency name in dropdown. Customer should create them first and travel agencies can assign an admin and should be able to create multiple usernames/passwords
- Daily/weekly/monthly Email should be sent to each agency administration with the account balance
