Description: Need a rockstar VA to become a trusted sidekick and help ease the overwhelm of a fast growing ecommerce studio.

I am an ecommerce expert specialising in Shopify. My studio has evolved into full package ecommerce studio helping clients launch their business from idea to launch and beyond, this includes logo and branding, ecommerce/ shopify design and developing, product and packaging design and monthly small business support and ecommerce maintenance. Lately, I have too many project requests and work to handle, I need someone to help reorganize and restructure some of my systems- I grew too quick and everything is very ad hoc. Then once organized I need help with client management and support, invoicing and project management.

I need someone who is intuitive, proactive and has an eye for detail, as well as a passion to help our studio grow. Someone who is willing to learn what they might not know and offer suggestions and solutions on how things could be done better. Once this person becomes familiar with the details of my business and how it runs, I want you to be able to take charge of areas of it and be able to help me manage others who may join my team as well as communicate directly with my clients to help onboard, give them process updates and help after project support and follow up.

I currently use Dubsado but don't use it to its full potential. Knowledge with Dubsado and all it can do is a must. I also may give data entry/ product upload related to Shopify from time to time. Someone with a keen eye for graphic design would also be good as I need someone who can eventually help design email templates, simple social media posts ect.
Someone who is familiar with Trello is also key as I use this for project management.

Immediate tasks I need to work through to start with:

Dubsado:
-overall help me improve and streamline my client experience.
- Clean it out and organize current clients
- Help create packages and beautiful package templates.
- Help utilize and set up the workflow functions a lot better. (currently dont use workflows in dubsado)
- Help create a smooth on-boarding workflow and once set up help assist with this process.
- client portal set up.
- gather information from clients -logins ect I need to start the project. Organize this into Trello client project board.
-Create a workflow for project updates and milestones for clients as well as after project support and client follow up.
- Help look after client invoicing and finances.
- help organize finances, manage projects fees vs expenses.
-scheduler working and keep up to date with my bookings

Trello
- Creation of template boards we can use for clients for project packages
- Project management assistance with trello board.

Shopify - from time to time I may need help with Shopify this includes:
-product information organizing - CSV - data entry, photo renaming, product upload, collection creation.
-photo resizing or simple edits

Other help I may need in the future -
-Social media management - currently I do zero social media for my studio
- Team managment - helping me to delgate work to other who may oin the team and keep projects on track
- communicate directly to clients on my behalf
- Workshop creation and management - I would like to as a long term goal (late next year) to create some online courses and I may need help with portions of this.

Currently, I do all of these plus the client work on my own with a few upwork backend developers. With the current surge of people wanting to work with me I really need someone to join my team that sees the potential in my studio and is motivated to help me manage its growth and success. For the right candidate this will lead to a permanent position with a promising studio.

I need a new business bestie, one who will become my second in command and grow with me.

Qualities that I am looking for in the right candidate are:
- a perfectionist
- motivated worker
- honest - is open about what you are and aren't capable of - don't tell me you can do something if you cant
- respectful of deadlines but also is not afraid to point out when a deadline is not realistic.
- very organized - almost OCD about it
- is talented at creating systems and processes and sticks to following them
- is willing to take charge when need to - If i travel or need to take time off with my son then I need to know that my company is in good hands and things are still getting done and clients are still getting questions answered.

I know this is very long but I want to be very specific with my expectations and needs which i hope you as my VA will be as well. I plan to start off slow part-time hours to start in order to help get systems in place and as our trust in each other builds then we can work more and more together until it becomes a full time position. The right candidate needs to be willing to look at this as a long term thing.
