Players
I need a website and I am having a hard time explaining what I need. First let me introduce the players:
TPA Inc, specializes in tax planning for a specific niche market
Reps, sells products that TPA uses in their planning. Reps are in a very competitive and very lucrative niche.
Prospects, I do tax planning and eventually they become clients of RSC an affiliated tax preparation company. They also buy products from the reps. Prospect for this are a typical, they are generally people who study solutions. We are not trying to create an advertisement per se, where less is better. That is what the reps give them. Prospects are generally do it yourselfers and like to know how things they can’t do work. So website will be content heavy.

The website needs some simple things like contact info. Mostly it will have two things, Case Studies and Understanding Articles.
Case Studies are examples of how TPA can solve prospects tax problems
Understanding Articles explain certain relevant industry terms used in the case studies.
Both should have the capability to link to understanding articles when there is a term that needs explanation. Generally, this would be 3-4 terms in each case study.
The first 3 months or so I will be posting case studies or articles to website weekly. After that probably every 2-3 weeks. This process should be something one of my staff can do after website is setup.
In a visible place probably under title in the center of the page I need a dynamic paragraph that will change. The paragraph will some acknowledgement to the visitor to the web page. This needs to change depending on who sends the visitor. If Rep A sends prospect a link this paragraph should have Rep A’s information. If the next prospect comes from Rep C than Rep C’s information will show.
Data Gathering
My thought is in order to know whether which rep sent a prospect each rep will need to have a unique link. Like ExchangeForYourDreams.com/reps name. This way we can change the paragraph as described above. I need to know the prospects info too. I need to know who the prospect is to match with the rep. When they enter, I think we ask for their name, and email address. This will mean some people won’t enter but it is vital that I be able to assure reps that I will not send their client to another rep.
Knowing the rep, prospect name, and prospect email gives me a data base. I probably need a few other fields in the data base. A field for Rep products that won’t change among prospects but just every time I see Rep A I will know for example he likes X products rather than Y products. A field for prospect notes. So when I am talking to him I can make notes about what he needs. Maybe a field for email preferences?
Maybe a way to get rid of prospect after a certain time? Sometimes these decisions can years though. Is the size of the data base important?
It’s likely that prospects will call when they are on the website. It will be best but not mandatory that the data base gets updated in real time?
What to do about the second or more times the prospect visits? Can we use cookies to find out who they are? Don’t want to make them enter their name every time?
After the prospect enters website and I have their info I will want to send emails once every 3-4 weeks when I post a new case study. I think I can do that through Mail Chimp?
