- PROJECT NAME: APOS (Avanti Point of Sale) www.avantiautospa.com We are located in Montreal, Quebec - CANADA
Background: We are a hand car wash and detailing center. We currently have a simple POS that works via EXCEL (concept and design by me – programming out sourced). The system emails me every hour our sales and at then end of the day sends me excel report of the entire day sales. It does not link with our credit card terminal - nor does it track gift card or loyalty cards.
I have looked at several of the market POS systems, like Tilpoint, Talech, Vend, ShopKeeper and many more. They each offer more features than we need and tend to make the system appear more complex. Also none of the systems handle Gift cards in a way that works for us. This is the reason for the need to develop a custom solution for our needs.
GRAPHICAL modern layout is needed - optimized for touchscreen -
Primary objective: To link POS to credit card terminal machine so that user does not have to key in the amount on the terminal machine. This will reduce errors. Currently our POS does not link to our credit card terminal and we are forced to key in the amount manually - which causes errors at the end of the day for balancing CASH sales and CREDIT/DEBIT sales. Our credit card provider is ELAVON – we are located in Montreal, Quebec – Canada.
Secondary objective :
To eliminate external company (DATACANDY) that manages our GIFT cards and LOYALTY plans.
Our GIFT card for us – is used a way to sell clients PREPAID washes. They pay for 10 washes and receive 13 washes. Each time they wash, we debit their card and this reduces that dollar balance available on the card.
We are able to export all the balances of the GIFT and LOYALTY cards via CSV – the CSV will contain the full number of the card and the current balance on that date.
We’d like to develop the ability with the POS to manage the cards. The following features would be needed:
GIFT CARD
- Sell a gift card – ACTIVATION – scan the bar code on the card – and add VALUE $$ to the card
- View the balance and activity of the card
- Debit the card for the car washes
- Possibly add the client name and phone number to the card
- Ability to RELOAD the same GIFT CARD
LOYALTY CARD
- Assign 10% of the value of services purchased toways LOYALTY POINTS
o So $ 24 wash = $ 2.40 loyalty dollars.
o Client must present his card – system should use bar code scanner to scan the card to accumulate points.
o Ability to verify the number of loyalty dollars on the card.
o Optional – link loyalty card to client phone number
ADDITIONAL SPECIFICATIONS:
APOS would need :
- Product categories
- Ability to track client sales by phone number – and display the client history on screen
- Have discount category
- Issue paper receipt - and in the backend report have some way to indicate that the receipt was printed - MOST of our clients don’t ask for receipts, but those that do want a receipt it is important for us to know the receipt was printed.
- Show on screen the amount of cars washed for that day, the number of GIFT cards sold, and the number of detailing services sold (not the $$ value, just the item amount ; for example if we have washed 37 cars, sold 3 gift card, and did 3 cars for detailing work - it would show as CARS 37 GIFT 3 DETAIL 3
- FORMS of payment, CASH, CREDIT/DEBIT, GIFT CARD, LOYALTY CARD – or OTHER
Platform: Cloud based - either on tablet or desktop PC,
APOS must control the cash drawer, printer, scanner and MERCHANT credit/debit machine.
I can provide you layout (hand drawn, wire frame) of what I would like.
Also can provide screenshots of POS systems that I like - my favorite labout is Tilpoint screens – you can google it to see what their screens look like.
REPORTS: Management
Currently my system can generate :
- Daily sales report
- Weekly sales report
Each report would contain breakdown and summary of services sold - and method of payments. We use the daily report – to balance our cash sale and credit/debit sales.
I can provide you with samples of the current reports.
Taxes: ability to control if taxes are charged on products (toggle on off )
USER login: each person that handles the APOS would need unique sign in - after 5 minutes of in-activity - user would need to enter 4 digit sign in to sign back in to the system
CONCLUSION:
The ideal candidate for this job must know how to integrate APOS with our credit card terminal. This is very important.
The above information is a guideline of our needs - more exact specifications will be determined at a later time.
