My client is an advising firm with about 20 advisors. For the advisory assignments electronic files are created, but as email grows more important the work to manually put emails and their attachments in the file becomes a burden. Also the company performs administrative functions for about 10 other organisations. Occasionally an email is sent from the main account that should have been sent from an account of one of the other organisations. The company is currently using an on-site exchange server, but is investigating if it makes sense to transfer to online.
Terminology:
I/Me - I'm an independent C# software developer, creating this functionality for my client (called company further on).
Company - My client the advising firm
User - An employee of the company
Client - Either an advising assignment for the company or an organisation
Project - advising assignment for a client (many clients have multiple projects)
Organisation - An entity the company performs administrative functions for
Plugin new email
The part of the plugin on creating a new email should present the user with a form on which:
- an account is choosen (from the company or an organisation)
- if the main account is choosen, a client has to be selected (allthough "none" will be one of the clients)
- email addresses of the client can be selected, additional addresses can be added from the address book
- optionally a project can be choosen
- choose a confidentially level
On sending the mail it is stored in the file of the client.
Contacts
The contacts are shared among all users, available contacts depend on the account choosen (main/organisation)
Plugin receiving mail
On first opening of the mail a form appears where a client can be choosen, if the senders email is in the address book the corresponding client is proposed. Optionally a project can be choosen. The confidentiallity level can be choosen here as well. If the email contains attachments a location (depending on the client/project) to place them is proposed.
Retrieving email
By selecting a client or project the user can see all emails (if authorisation is sufficient for confidentiallity level) for that client/project
Further considerations
The plugin has to be written in C#
Database connection will be provided by me
The code becomes my property
I report weekly to the company so I want every week an update (preferably with a skype conversation/demonstration of the functionality).
To ensure this briefing is actually read you have to include in your quote:
- a description of a plug in you've actually created
- whether you're a single developer, or a salesperson of a larger organisation
- you are available at least twice a week to work together via skype during my waking hours (08:00 - 22:00 CEST), mondays through saturdays
The most important thing in working together on a project is to understand each other. Part of the selection process will be a skype interview of about 15 minutes to confirm we understand each other.
If you have questions please ask them using the common questions and answer option, so I only have to answer them once. If you ask sensible questions this will be weighed positively on selecting a developer.
