We have need for an Intuit Developer to write an application that integrates with Quickbooks Desktop. The application would need to be ran on the Windows 10 platform and be able to edit our existing Quickbooks company file.
THE PROBLEM:
We charge our customers a fee using their credit card. These fees are processed by a third party merchant services company. Many transactions are done on a daily basis. The merchant services company creates a batch of the entire day's charges and then deposits the total charges into our bank account. So, our bank account shows the total deposit for the day from the merchant services company, but not each individual transaction.
Quickbooks, on the other hand creates a separate customer account and a separate transaction for each customer with a separate fee.
In a nutshell, Quickbooks imports each payment separately, but the merchant services groups it together and makes one deposit per day.
Reconciling the different customer account fees in Quickbooks with the single batch total amount deposited into our bank account from the third party merchant services credit card company each day is not easy and is very time consuming.
WHAT WE CURRENTLY DO:
So, we have to manually match all the payments of the day in Quickbooks and then re-configure the way it was actually deposited from merchant services.
We look up each payment customer account in Quickbooks by "Chk No." and pull up the payment, then temporarily place the payment into "Undeposited Funds" which allows us to group all these payments as one whole deposit -- this then equals the merchant services batch deposit amount. We then Record Deposits in Quickbooks by selecting all transactions tagged in the "Undeposited Funds" account.
Now, all deposit amounts from the merchant services batches and Quickbooks are equal. We do this so we can balance the bank statement at the end of the month.
WE NEED TO YOU AUTOMATE THIS TASK:
We need the developer to integrate a PC based software solution to take a CSV file (that will be on the local PC file system) generated from the merchant services batch of a particular day (see attached example file), and take each entry of that CSV file and query and match the "Invoice Number" in that batch file to the Quickbooks customer entry with the same "Chk No.". Once the entry is found and matched in Quickbooks, take the payment in Quickbooks (which should match the entry in the merchant services CSV file) and mark it as deposited it into the "Undeposited Funds" account in Quickbooks. That's it.
The CSV batch file has a unique "Invoice Number" which can be uniquely associated with the "Chk No." in the Quickbooks file. The fee amounts should also be the same.
Attached is an example CSV file of the credit card settled batches from the merchant services on a daily basis, and also an example screen shot of the Quickbooks entries.
