- We are looking to purchase software for a potential project. The specifications of the software are listed below.
Could you please let me know if this is possible, the cost and the time required to set up this software?
• Maintain an up-to-date and comprehensive online catalogue of all products available through government of Canada public website.
• Permit public clients to order free publications online.
• Provide the Project Authority and designated Representatives the ability to search for a title by name, title, subject, catalogue or ISBN number, and by language.
• Provide two (2) web interfaces from one (1) system/database; one (1) internal interface permitting ordering by the Project Authority (or designated representative) and one (1) external interface permitting ordering by clients.The ordering interfaces must request client specific information in order to allow order fulfillment and distribution, including (but not limited to):
o First Name
o Family name
o Company (if applicable)
o Address
o City *Should have a Drop Down
o Province
o Country
o Postal Code*Should have a direct link to Province and City
o Email
o Telephone number
o Title/Position
o Comments
• Set and control the number of products a client can request and receive as specified by the Project Authority (or designated representative).
• Provide the external web ordering system in English and French as two (2) separate versions. The French version will provide all product and ordering information/instructions in French and the English version will provide all product and ordering information/instructions in English. English and French catalogue titles and description will be provided to the Contractor by the IRCC Project Authority (or designated representative).
• Allow IRCC clients to order multiple items (part #s) in a single ordering session.
• Provide a feedback mechanism before the order is processed to confirm that the ordered items and information is accurate.
• Process orders automatically ONLY if all of the mandatory information fields are completed (no missing information) and the quantity (quantities) ordered do not exceed the available inventory. The ordering interface must:
o Display which data fields are not completed accurately (missing information).
o Automatically display an error message to notify the Project Authority (or designated
o representative) and clients if the required quantity (quantity ordered) exceeds the available quantity.
• Create management reports, such as inventory volumes, number of orders, business volumes, and geographical locations.
• As specified by the Project Authority (or designated representative), set inventory restocking levels (low volume indicator) by title.
• Provide clients the ability to review their online order before sending.
• Track orders through the system from the time it was entered online till it was delivered to the clients.
• Reduce inventory levels automatically in the IMS when orders are placed.
• As specified by the Project Authority (or designated representative), create distribution lists by cross-referencing various data/information (by province, country, title, dates, etc...)
• Provide specific physical inventory location in the warehouse.
• Print a packing slip when orders are issued.
• Initiate and send automated order confirmation (reception of order, processed, back-order, delivered, etc...) to Clients by e-mail.
• Extract inventory and ordering data in order to share information with internal partners (R&E, OMC, etc) as specified in writing by the Project Authority (or designated representative)
• Permit the Project Authority and designated representatives to have up-to-date data to use in response to enquiries and for input to departmental reports.
• Generate Operational business/analytical reports – ad hoc and/or automatic.
• Permit the Project Authority (or designated representative) to track order status (received, auctioned, shipped, etc...)
• Capture, track and report on shipping/distribution costs.
• Coordinate updates from Canada Post – postal codes.
• Identify and automatically correct postal codes.
• Provide functionality in the IMS to permit a manual increase/decrease (override) of quantities available for ordering
